Email is a widely used channel, and its use is strategic for sending campaigns as it allows your company to communicate directly with your target audience in a personalized manner. With Zenvia Customer Cloud, it is possible to send mass emails, create and edit message templates, all in an easy and customized way to meet the needs and interests of each recipient.
⚠️ Attention: This feature is available only for users with the Operator or Admin profiles.
To send an email message in Zenvia Customer Cloud, it is necessary to integrate and configure the channel, as well as register and configure an email domain.
After these configurations, access Message broadcast > Broadcast and automation and select the Email channel.
The email broadcast construction consists of three steps, which we will detail below.
1. Create the message
- Define the broadcast's name;
- Select one or more tags to identify your shoots. It is possible to add or create new tags;
- Choose the sender email: the one that will be displayed to the recipients, i.e., who sends the email. It must be previously registered and configured. If it is not on the list, you can add another email address.
- Email responses from contacts can be forwarded to a new inbox. To do this, simply click on the checkbox and enter the desired email address to receive responses.
- Then, it is possible to define the message body using:
- A pre-configured template;
- The template library;
- The email builder;
- Writing the message body and HTML manually.
- Insert the email subject. It indicates the content of your campaign to the recipient.
- You can add attachments via URL, in a public and shared location. Just click on Add attachment and enter the URL or click on Add file with variable to attach personalized links from your contact base or shoot spreadsheet.
⚠️ Attention: The maximum size of the total files is 30MB. Up to five attachments are allowed.
Subject, message content, and attachments can contain variables. Variables must be filled in this format: {{variable}}.
Next, see the options available to build the email body.
Use email template
Templates are pre-configured templates that can be reused countless times and are useful for standardized content delivery quickly.
With the registered email template, just select it in My Templates. It can be edited and configured at any time, both in builder format and text and HTML body.
⚠️ Attention: The selected sender email must have registered message templates for use. Otherwise, no template is displayed.
Template library
The template library offers six ready-to-use email templates, allowing you to optimize design and content creation time. By selecting one of the templates, you can customize the sending of messages according to the specific goals and styles of your business. To use a template, click on Template library, choose an option, and click Use.
Email builder
The available features make it easy to create and customize your emails. To use them, simply drag the desired feature to the message body.
Text and HTML body
This functionality allows you to create emails simply. To do this, just write the message body or paste an HTML code.
Save Template
Depending on the message template chosen, you must choose an action. If you have used and made changes to a template, you can:
- Continue without saving: to keep the changes only for this shoot;
- Update template with changes: allows the shoot's changes to be saved in the message template;
- Save as a new template: allows a new template to be created without changing the original template.
If you used a new template, the options are:
- Save as a new template;
- Do not save changes.
When finished, click Confirm to set the recipients.
2. Configure broadcast
In this step, define the recipients of the messages. You can send to contacts from your base, imported from a .csv file, or added manually.
Below, we will detail each of these options.
Select from the contact base
To send to contacts from your base, it is necessary to select the list of contacts, specific contacts, or segmentation rules already added to the platform to receive this shoot. Once done:
- Click on Select from the base;
- Select the list of contacts, specific contacts, or segmentation rules, and click Add;
- When finished, click Next.
Import contact file
To send to contacts imported from a .csv file, you need to upload a file in .csv format. All shoots that have variables must be done via .csv file.
The file must follow these standards:
- Be in .csv format and UTF-8 encoding;
- Contain email addresses, mandatorily, in the first column - always in column A of the spreadsheet;
- The first line of the file must be the header. Enter the names of the variables used in your message and use a comma (,) or semicolon (;) to separate each field. In the example, the file contains, in addition to the Email, the Order field because the message text has the {{body_1}} variable, which corresponds to this data;
- Separate one email address per line in the file;
- Contain up to 120 MB.
Example of how to configure the file:
For the message "Good news! Your order {{body_1}} has just been shipped and is on its way to be delivered as soon as possible!", the file must contain the message variables organized in distinct columns.
With the file configured correctly:
- Click on Load .csv file;
- Drag and drop the file or click Select file;
- The next step is to associate the variable fields with the corresponding value, i.e., what each table field represents;
- If you want to review your file and check if it is ready for use, enable the Analyze .csv file option;
- When finished, click Continue.
Add contacts manually
To send to contacts added manually, it is necessary to add the email addresses of the recipients using a semicolon (;) to separate the emails. To do this:
- Click on Add contacts;
- Enter the email addresses in the format [email protected];
- Click Add to complete the action;
- When finished, click Next.
The limit is 400 email addresses. Above this quantity, the send must be done through file import.
Ready! With the message content and recipients defined, let's go to the final process of sending the message.
3. Send the message
After completing the recipients' step, check the broadcast summary. At this stage, you can preview the message, send a test email, and must select the message broadcast method.
Send a test email
Send a test email to see how your broadcast will be displayed in an inbox before being sent to customers. Besides allowing you to preview the email appearance, sending a test version is an opportunity to review possible typos, content, and check if links and buttons are working correctly.
⚠️ Attention: Before sending the test, note that:
- This is a paid service. Test messages sent are normally charged;
- Attachments are not sent in the test email, only in the official send;
- Test emails do not appear in the shoot report, i.e., the send and contact actions (clicks, opens) are not recorded.
To send a test email, follow these steps:
- Click on Send test email;
- Enter the email address to which you want to send the test. To send multiple emails, separate the addresses with a semicolon (;). For example: [email protected]; [email protected]
- When finished, click Send.
Broadcast method
Next, it is necessary to choose when you want to dispatch the message. To do this, click Dispatch or schedule.
Select one of the dispatch methods to complete the sending process:
- Broadcast now;
- Schedule broadcast;
- Send at the best time.
If you do not want to send messages to all recipients at once, you can split the message send into batches.
